Open Position: Executive Assistant – Part-Time

About Us

Species360 is a unique blend of a software company, non-profit organization, and global leader in wildlife care and conservation. We offer our Zoological Information Management System (ZIMS) web-based platform to manage data on almost 10 million animals and over 22,000 species including many that are threatened or even extinct in the wild. And our Species360 Conservation Science Alliance uses that data to support animal care and wildlife conservation around the world. We serve over 1,200 zoos, aquariums and wildlife facilities in almost 100 countries with their animal management needs.

We’re seeking an experienced Executive Assistant to support the CEO on a part-time (20 hours/week) remote work basis. The ideal candidate is creative, detail-oriented, and understands working within a small, non-profit environment that is mission-driven and dedicated to serving its members. Experience or passion for conservation and wildlife is a plus. This position is based in the Twin Cities or surrounding areas.

About the Job The Role

  • As an Executive Assistant, you work in partnership with the CEO to write, edit, and proofread communication ensuring that all employee, Board, and Member communications are of the highest quality and professionalism.
  • You will perform general administrative support, as well as routine and complex calendaring and scheduling.
  • You will work on special projects, present analysis and results, and present reports to the CEO and Leadership Team.
  • You will manage, coordinate, and arrange US and international travel and travel-related activities, including booking flights, hotel, and transportation and coordinating meetings.
  • You will coordinate content and logistics for All-Staff meetings and retreats, including managing related budgets and international travel.
  • You will organize logistics and create materials for quarterly Board meetings, in partnership with the Species360 Leadership Team and Committee Chairs. Board meetings are held internationally.
  • You will create PowerPoint presentations and related meeting materials for staff events and Board meetings.

  • You have exceptional written and oral communication skills in English and can independently create, proofread and edit business documents and communication.

More About Species360

Species360 members address today’s most urgent wildlife issues, including establishing best practices in husbandry, enrichment, medical care, welfare, reproduction, population management, and biodiversity. Our ZIMS software vastly increases what is known about thousands of species and is instrumental in identifying conservation strategies for many of the species assessed as vulnerable, endangered, and extinct in the wild. Species360 provides conservationists with evidence-based findings integrating the full scope of global data, including IUCN Red List, CITES, TRAFFIC, EDGE, AZE, ZIMS, and more. Our Benefits

We offer generous time off benefits, combining holidays and vacation into one Paid Time Off benefit for maximum employee flexibility. You start accruing PTO at 5 weeks per year. In addition, we provide 10 paid sick days plus 8 weeks of paid parenting leave. Time off benefits are pro-rated based on part-time hours.
